Billing and Ops Analyst| Work From Home [Philippines]


 

Seeking an experienced Billing/Ops Analyst to assist with daily company operations which includes execution and tracking of all sales transactions, customer billing, purchasing, shipping, credit card reconciliation, time-tracking, and labor utilization reporting.

This is a 100% remote position. Candidate must have stable internet and have the ability have conduct business at home without compromising company security and information. Successful experience working the night-shift is required.

Primary Tasks

  • Customer Invoicing – Working in tandem with Senior Manager and cross-functions, generate and execute customer invoicing (via Maxio/Saas-Opitcs). Maintain customer information, sales information, and invoices in Maxio, Excel, and repository
  • Project Set-up – Setup projects in QBO, QBT, Maxio, and ProcureDesk and update project matrix template working with Engineering, Project Managers, and Accounting.
  • AR Aging and collections – Maintain AR Aging report (via QBO and Excel) and assist with collections
  • Purchasing – Execute purchases (Amazon, Amazon.ca, eBay, etc) and maintain status in Procedure Desk (delivery and receipts). Assist with purchase order creation when needed.
  • Shipping – Execute shipping (via UPS, FedEx, USPS, etc) and maintain supporting documentation (delivery and receipts)
  • Time-tracking and Reporting - Support time-tracking (via QBT). Support resource setup and resource utilization reporting (via Excel)
  • Credit Card reconciliation – Provide supporting documentation on credit card purchases (via BREX)
  • Be willing to be take on new assignments and available as a back-up to the accounting counterpart.
  • Perform ad-hoc projects

Other Requirements

  • Successful, recent experience working the night-shift (to support US hours) is required.
  • At least 3yrs professional experience in Operations, Finance, and/or Accounting supporting customer billing is required.
  • Billing experience with a Software system is a must
  • Experience with some sort of ERP system is a must
  • Exceptional spreadsheet and Excel skills (pivot tables, vlookup, leveraging conditional formulas) is required. Must demonstrate Excel skills during interview.
  • Willing to be flexible and grow. Willing to learn new concepts and take on new responsibilities in a fast-paced, start-up environment.
